Clarification of Absences and Holding Fees
Each child is entitled to 42 absences per financial year (includes public holidays, sick days etc)
A = Full Session
B = First Session (school children only)
C = Second Session (school children only)
a) School Children
When absent, a school child’s normal booking time is what the majority of the booking is:
- Before and after school (BAS) hours booking times during school terms (40 weeks of the year) will be the holding fees in holidays (which includes a public holiday) if care is not needed and if advised at least one week before holidays commencing.
- If a school child has a curriculum day and does not attend family day care it is counted as an ‘A’ absence.
- If school holiday care is required (long day hours) and a public holiday falls in that time – a holding fee on those ‘long day hours’ is charged.
- Some bookings may be for school holiday care only and if it includes a public holiday – a holding fee on those ‘normally booked’ hours is charged.
- Families are to give at least 1 weeks notice if holiday care is required. If notice is not given, the holding fee is on the long day rather than the BAS hours.
Note: Please ensure a ‘Booked and Contracted Hours’ form is completed prior to any care commencing and both parties are accepting of the booking arrangements. Also, please be aware that school children can only access 85% of the CCB entitlement on all charges (as directed by Department of Human Services).
b) Pre-school Children
When absent from booked care, a pre school child’s booking time is applied as a holding fee for their absences on all booked days – including public holidays.
Public Holidays (PH)
A holding fee for a PH is applied when the PH falls on a ‘booked’ care day.
Back Up Care
If back up care is offered to families, the booking arrangement will be based on the days that are required as per written contract (eg may not be a complete block of days and generally would not include a PH). Once this booking has been made, if a child is absent, a holding fee will then be applied to that absent booked day.
Please ensure a ‘Booked and Contracted Hours’ form (yellow for preschool and green for schoolies) is completed prior to any care commencing – including backup care.
Holding Fees
- All absences are charged at the normal rate and CCB is paid for 42 allowable absences, across all services per financial year (which includes Public Holidays and illness).
- When a child is absent due to family leave, fees need to be paid in advance and timesheets are to be signed in advance.
- If the educator is unavailable to provide the care – no fee is charged.
Very Important Note:
Using a Back up FDC Educator
Childcare Benefit can only be paid towards one FDC Educator at one time. Therefore if you are required to return to your ‘normally booked’ FDC Educator at a specific date but remain at the back up FDC Educator (or return earlier than arranged) – a full fee will be applied to one FDC Educator’s fees (No Childcare Benefit).
To avoid this – please discuss any change to back up care arrangements with the co-ordination unit staff prior to making a decision.
